Even if you have a great backup service to keep all of your files stored for safe keeping, security measures should still be taken locally with your employees. Training your employees on security isn’t something that should be overlooked. Hold a quick training session to help prepare your workers to function as securely as possible. Here’s a quick list of the most important things to train your employees on:
Training on Company Storage and Backup Procedures
Your company has protocols when it comes to storing information and backing it up, regardless of the type of services you may or may not use. When it comes to keeping your company secure, your employees need to know how it’s done. Training them on the protocols they should be using while working with company materials will help maintain the overall security of the entire company. Even if they aren’t responsible for or have a role in the backup process, making sure they’re aware of how it works can give them peace-of-mind when a specific document goes missing. Whenever there’s a change-up, make sure you keep your employees up-to-speed!
Securing Smartphones and Computers Locally
Regardless of whether your employees are using company-owned smartphones and/or computers, they will more than likely have access to important files and business related materials on their computers and phones. Train your employees on how to keep their devices protected locally. This means training them on setting passcodes and encrypting files. This is actually a huge source of protection when it comes to keeping people out of your employees’ computers and devices. Even taking steps to encrypt company files and folders will put added security on your information. Both smartphones and computers have capabilities to enact an auto-lock feature. This can be set to take effect after a certain amount of time where you haven’t interacted with the device. When the device auto-locks, it will shut it down and when it is open again, the passcode is required to gain access all over again.
Anti-Virus Software
It doesn’t matter if your employees are using their own devices or company-owned ones: if they are accessing company materials from a computer, they may be at risk. Anti-virus software works to find and stop threats to computers and phones. The threats that your business should be most concerned with are ones that threaten to delete or corrupt files, or ones that threaten a break in the security and privacy of them. Provide your employees with an anti-virus software and train them on how to properly install it and run regular computer virus scans. Most software options even have a feature that tells you when you’re entering a bad website. If you don’t have one already, consider a cloud backup solution that will constantly monitor files to restore them if they’re deleted or corrupted.
